Deputy Validation Manager.

Our Validation Services division manages periodic test reports for endoscope washer disinfectors, controlled environment storage cabinets, sterilisers, and a broad range of SSD equipment across a growing portfolio of NHS sites. The division operates under ISO 13485 and is subject to audit by authorising engineers and BSI.

Role Context and Purpose


The Validation Services team has grown significantly following iM Med's acquisition of Belimed in 2025. The team now manages over 900 validation assets across both organisations, covering endoscopy (HTM 01-06) and sterile services (HTM 01-01) across iM Med and Belimed-origin engineer pools.


The Validation Manager currently carries the full operational weight of the department. This role is created specifically to provide genuine resilience: the Deputy Validation Manager must be capable of running the department day-to-day in the Validation Manager's absence, without any material drop in service to engineers or customers.


This is not an administrative support role. The Deputy Validation Manager is expected to develop into a fully authoritative second-in-command within 12 months of appointment.


Role: Full Time | Permanent | UK Travel

  • Operational Cover and Resilience >

    • Serve as the named deputy for the Validation Manager — able to assume full operational responsibility during any period of absence


    • Maintain continuity of report turnaround, AE(D) correspondence, and engineer support during cover periods


    • Ensure engineers receive timely feedback on submitted reports and that no report queue builds up during planned or unplanned absence


    • Maintain working knowledge of all active sites, AE(D)s, and outstanding issues so that handover requires minimal briefing

  • Report Quality Assurance >

    • Review submitted periodic test reports against VALPOL-001 (iM Med Validation Services Quality Policy) to identify errors, omissions, and non-compliance


    • Manage the AE(D) rejection process — log, assign, chase, and verify resolution within defined SLAs


    • Maintain the engineer error tracking log and flag threshold breaches to the Validation Manager


    • Support the Validation Manager in identifying training needs from error patterns across the engineer poo

  • Engineer Support and Communication >

    • Act as the first point of contact for engineer queries on report format, document order, calibration requirements, and site-specific requirements

    • Conduct site visits where required to witness validations and assess engineer competency

    • Deliver or support delivery of validation training sessions to engineers (iM Med and Belimed pools)

    • Chase engineers for outstanding or overdue reports within agreed timescales



  • Customer and AE(D) Relationship Management >

    • Maintain professional working relationships with AE(D)s across the NHS Trust portfolio


    • Respond to AE(D) and Trust queries in the Validation Manager's absence without escalating unnecessarily


    • Ensure all site-specific additional requirements (as recorded in MASTER DATA) are communicated to engineers in advance of site visits


    • Maintain awareness of any site disputes, validation complications, or at-risk relationships

  • Administration and Systems >

    • Maintain the validation MASTER DATA files (endo and SSD) — site, machine, AE(D), and template data

    • Manage report filing, naming conventions, and record retention in line with VALPOL-001

    • Operate IPReports software to track report status and support engineers with template queries

    • Prepare monthly activity summaries for the Validation Manager covering report volumes, outstanding rejections, and error rates


  • Team Support >

    • Provide day-to-day guidance and oversight to the Validation Administrators during cover periods

    • Support the onboarding and training of new validation team members

    • Contribute to the development and review of validation policies and procedures

  • Personal Specification: Essential >

    • Strong working knowledge of HTM 01-06 (endoscope decontamination) and/or HTM 01-01 (sterile services)

    • Experience reviewing or producing NHS periodic test reports as a Competent Person (Decontamination) [CP(D)] or in a quality oversight role

    • Confident communicator — able to give clear, direct feedback to engineers and to liaise professionally with AE(D)s

    • High attention to detail — able to cross-check report content against standards and identify discrepancies

    • Self-motivated and able to manage a multi-stream workload independently

    • Willing to visit sites across the UK to witness validations or support engineer development

    • Proficient in Microsoft Office (Word, Excel, Outlook)


  • Personal Specification: Desirable >

    • City & Guilds ENG08 and/or ENG20 qualification

    • Experience working with IPReports or similar report management software

    • Experience in a multi-site NHS decontamination environment

    • Previous line management or team leadership experience

    • Familiarity with ISO 13485 quality management systems

  • Personal Attributes >

    • Calm under pressure — able to manage multiple priorities during busy cover periods without dropping standards

    • Confident on the phone — willing to chase engineers, speak to AE(D)s, and escalate appropriately
